Flame Consulting is currently seeking an Administrative Assistant/Program Manager to join our CEO in the quest to support the community through the support of select nonprofits. Flame Consulting is a growing firm that supports nonprofit organizations with program management, from fundraising, event planning and marketing to legislative lobbying, recruiting and member management. Flame is a growing company hoping to add additional nonprofits to its client list. Accordingly, there is plenty of opportunity for advancement and making a long-term impact on the community.Flame currently manages Ellevate Louisiana and Survivor's Cancer Action Network - SCAN. Ellevate Louisiana was founded in 2020 to empower women leaders throughout Louisiana by connecting and educating them on the challenges impacting our State with data-driven, non-partisan solutions to make a better future for Louisiana. SCAN is currently being created with the mission to unites cancer survivors, doctors, scientists, and philanthropists to improve the patient experience and ultimately drive superior outcomes for cancer care in the State of Louisiana. Julie Stokes lobbies the Louisiana legislature for cancer-related causes and as part of the advocacy efforts of Ellevate Louisiana.Flame Administrative Responsibilities: Executive Administrative Support- including scheduling and clerical organization for Flame CEO, coordinating with accounting team, tracking mileage and expenses for Flame. New Clients - Assist with finding potential clients and seeing them through from initial contact to contract. Meeting management- Scheduling, creating virtual meetings, inviting attendees, attending, taking minutes, distributing minutes and generally assisting with executive management and board meetings, new client meetings and conference calls.Program Manager Responsibilities: Membership- Recruiting, Communication and Database Maintenance. Identifying, creating, and working recruiting events. Creating email blast for recruiting and delivery of organizational information to members and potential members. Entry, organization and maintenance of members and contacts across several databases. Marketing- Social Media, Website, & Public Relations Efforts. Manages all software and accounts any for outsourced marketing needs (i.e. podcast and website creators, member database and email list, social media account management software). Ensure that all marketing material meets brand criteria for individual clients, events or campaigns. Creating social media content and scheduling posts, for several accounts on multiple platforms. Website information management, working with an outside firm to build and update client websites. Public relations efforts to include setting up interviews and speakers, creating/editing press releases and content for distribution through news, email, print and social accounts. Event Planning- Budgeting, event planning, soliciting sponsors and exhibitors, advertising, scheduling, creating print material & day-of management of events large and small. Assisting in creating realistic budgets for events. Sourcing event locations, rentals, food and beverage, staffing, hotel room blocks and activities. Assisting to find supporters to sponsor and exhibit at events. Creating advertising for both sponsorship support as well as attendance. Creating and coordination schedules for vendors, speakers, sponsors and guest. Creating presentations and print materials for events. Facilitating printing and distribution of materials. Assisting with the recruiting and coordination of volunteer to assist at events. Act as the day-of point person for events, ensuring that events run smoothly, and attendees and sponsor expectations are met. Fundraising- identifying available grants and potential donors for individual clients. Brainstorming potential fundraising opportunities for clients.Requirements: Exemplary organizational skills with ability to prioritize tasks in a flexible environment Strong attention to detail and ability for follow-through Good work ethic with positive attitude, and team-orientation Ability to handle individual projects and coordinate team projects Strong communication skills both written and verbal, including the ability to interact with people at all levels. Ability to be flexible, resourceful, and efficient in a fast-paced environment with a high level of professionalism and confidentiality Strong technology skills and proficiency in MS Office in a Mac environment 3-5 years of prior assistant or nonprofit, community and/or fundraising-related work preferred.
