Job Summary
Job Description
The Department of Public Safety of the University of New Orleans is
seeking an experienced professional to fill the role of Office
Manager in UNO's campus Police Department.
65% The Office Manager will be responsible for managing the day to
day operations of the parking division; including, but not limited
to issuing parking decals to the campus community, preparing
quotations for submission for the ordering of parking decals,
parking passes, parking hangtags; entering data into the computer
system to used to track/inventory parking decals; maintain proper
inventory of parking decal stock; oversee parking appeals which are
forwarded from Student Affairs; maintain the online parking
regulations manual.
10% The Office Manager shall act as the department's primary
timekeeper. This shall include completing and submitting timesheets
to payroll, as required; maintain up to date computer entries for
department members time; filing department timesheets internally,
as required; maintain leave slip records and ensure they are
properly completed by supervisors; perform quarterly overtime
budgetary audits, or as required by a supervisor.
5% The Office Manager shall be responsible for ordering office
supplies for the department operations and the parking division
operations, including supplies for all printers, copiers and fax
machines.
5% The Office Manager shall be responsible for properly preparing
and regularly updating reports related to parking citations issued,
voided tickets and ticket appeals.
5% The Office Manager shall be responsible for submitting the
monthly vehicle fuel/mileage report as required by the State of
Louisiana Division of Administration.
5% The Office Manager shall act as a backup administrator, as
needed, for the Fleet Commander fuel accounting system. This shall
include preparing reports related to the cost/usage of fuel for
police vehicles.
5% The Office Manager shall perform other administrative office
tasks as assigned by a supervisor.
Required Qualifications:
Three years of experience in which clerical work was a major
duty.
SUBSTITUTIONS:
Training in a business or clerical-related curriculum in a business
school or technical institute will substitute for the required
experience on the basis of six months of training for six months of
experience for a maximum of one year of the required
experience.
Completion of a business or clerical-related curriculum in a
business school or technical institute will substitute for a
maximum of one year of the required experience.
College training will substitute for the required experience on the
basis of 15 semester hours for six months of experience.
Desired Qualifications:
At least one year of experience entering payroll records for ten or
more employees.
At least one year of experience auditing internal financial
records.
