Assistant Director of Business OperationsResidence Life Location: New Orleans, LA Summary The position is responsible for managing the financial operations of Housing and Residence Life, which provides on-campus housing to over 4000 undergraduate students. Under the supervision of the Associate Director for Housing Operations, this position manages human resources, financial and budget affairs, and compliance with pertinent and applicable policies, regulations, and statutory requirements RESPONSIBILITIES FINANCIAL ADMINISTRATION : Directs all budgetary and financial activity of HRL in accordance with the strategy developed by department and university leadership. Evaluates the effectiveness, cost, and administration of housing services and programs for students. Collaborates with the Assistant Dean, Student Affairs Administration and Finance in the Division of Student Affairs to ensure effective management of human and financial resources. Provides on-going leadership for departmental staff in areas of budgeting, strategic planning, accountability and fiscal integrity. Develops templates for annual budgets and serves as the liaison with Student Affairs to ensure target budgets are met. Develops budget strategies and forecasts for departments to maximize budgets and identify future sources of funding. Develops and generates reports to track financial and operational performance, including but not limited to income statements, annual revenue trends, and monthly budget reports. Provides review and approvals for all CONCUR and Procurement Card expenses submitted electronically. Administers and manages contracts in collaboration with General Counsel, including, but not limited to: StarRez, eRezLife, EBI and others. BUSINESS OPERATIONS Ensures University Purchasing Policies and Procedures are being followed for all financial operations. Establishes short and long term goals and priorities within each area of responsibility, supporting direct reports to accomplish these goals. Identifies cost saving and revenue opportunities to maximize departmental budgets. Provides guidance for staff responsible for payroll and personnel processes. Prepares and/or manages the completion of the monthly financial statements (including variance analysis) for Housing and Residence Life. These are prepared for the Director of HRL, Assistant Vice President of Student Affairs, Vice President of Student Affairs, Budget Office, and others. Manages the billing module within StarRez housing system and the related components. In partnership with the Associate Director for Housing Operations, manages a complex bed supply and demand operating model which is used to make significant financial and operational decisions by various University departments. PERSONNEL & ORGANIZATIONAL MANAGEMENT Directs and manages the Housing and Residence Life administrative operations. Ensures that resources are allocated effectively to support the delivery of excellent service, and housing and residence life programs and services; works with staff members in all departments and sectors of HRL to promote organizational and operational effectiveness, efficiency, and high quality student services. Hires, trains, and supervises one staff member and manages the day-to-day business operations functions of the department. Manages the staff as they interact with students and their parents in resolving issues or concerns they have with their room. Oversees and follows University Policies for all professional and student staff hiring for the Housing and Residence Life. Advises HRL Leadership and staff in matters concerning human resource policies and procedures. Serves as primary liaison with VPSA Office/HR for personnel matters. Reviews and approves all hiring requests within the University------s Human Capital Management (HCM) system. Provides opportunities for staff professional development, ongoing feedback and annual evaluations. Identifies, gathers, assesses, and analyzes data used for making decisions and make decisions where appropriate; incorporates data and ideas in either formal or informal reports, presenting resolutions to issues or problems to the Director of HRL, senior leadership in Student Affairs, Chief Operating Officer and other staff. Administers appointments for Housing and Residence Life staff in the payroll system as well as approve the bi-weekly payroll. Participates in committee meetings to facilitate integration of accounting/financial aspects of student housing into the total student experience. Assists as needed in the room assignment and student billing process. EMERGENCY PREPARATION AND RESPONSE Serves as a member of the department and divisional crisis response teams and as a member of the University------s Essential Personnel. Along with the Assistant Director for Facilities, coordinates with Environmental Health and Safety to ensure adherence to federal, state or local regulations applicable to university safety and emergency operations. Maintains departmental emergency operations equipment and supplies. Provides training to professional and student staff on emergency response protocols in the area of financial operations. Assists with coordination and support of maintaining departmental operations during emergency/evacuation and response for affected students. Performs other duties as requested or required, whether or not specifically mentioned in this job description. Serves on University committees and participates in other groups as appropriate. Assumes additional responsibilities and increase knowledge, skills, and abilities Required Qualifications Bachelor's degree. Three years of progressively responsible administrative/supervisory experience. Preferred Qualifications Advanced degree in business, higher education or related field. 3 years of management experience working within a large housing enterprise or similar business. 3 years of supervisory experience. Experience working in a higher education setting. IT proficiency Knowledge of accounting standards/CAS standards
