* Videos Videos * Duties Help Duties Summary The Lead File Clerk serve as the Lead Scanning specialist for the Health Information Management File Room/Scanning Unit at the VA Medical Center New Orleans, LA. The incumbent will index each scanned document into a SQL database which will be accessed via CPRS GUI tools, associate each scanned document with the correct patient's CPRS record appropriate TIU document, assign the appropriate document-named nomenclature, alert all providers and clinical staff. Learn more about this agency Responsibilities Duties and responsibilities include: * Serves as Acting Supervisor, Health Information Management File Room/Scanning Unit, during periods of absence.* Resolves simple, informal complaints of employees referring others to the supervisor.* Reports to supervisor on performance, progress and training needs of employees.* Promptly informs Supervisor of any unusual complex or problem situations confronting the daily unit operations that cannot otherwise be resolved.* Sorts loose medical record documents received daily; scans and indexes materials accordingly, on a timely basis and within established guidelines; and makes the proper disposition of documents.* Distributes and balances the workload among employees in accordance with established work flow or job specialization, assure timely accomplishment of the assigned workload, and assure that each employee has enough work to keep busy.* Keep in touch with the status and progress of work and make day- to- day adjustments in accordance with established priorities, obtaining assistance from the supervisor on problems that may arise, such as backlogs which cannot be disposed of promptly.* Estimate and report on expected time of completion of work and maintain records of work accomplishments and time expended and prepare production reports as requested.* Instruct employees in specific tasks and job techniques and make available written instructions, reference materials and supplies.* Give on the job training to new employees in accordance with established procedures and practices. You may qualify based on your experience and/or education as described below: * Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-4 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge and skill in operating a personal computer or computer terminal using a standard typewriter style keyboard with additional function keys to produce work accurately and efficiently. Knowledge of manual and computerized information systems in order to audit, review and analyze data. Knowledge of content and format of medical and administrative records to assure the documents are indexed to the correct document title and system of records.Ability to communicate orally and in writing with individuals from varied backgrounds.OR,* Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years of education above high school.OR,* Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond .. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work involves considerable walking, standing and bending in searching from various files. There is occasional lifting and carrying of such items as record boxes and bulky files.
